The Patient module handles core demographics, insurance indexing, relationship tracking, and the full intake workflow from first contact to active chart.
Adding a Patient
Click Add Patient in the top right
Enter standard demographics — name, DOB, sex, address, phone, email
Assign a Primary Diagnosis (e.g., F84.0 Autism Spectrum Disorder)
Attach a photo for quick visual identification
Guardian Profiles
Every pediatric patient must have at least one Guardian/Guarantor tied to their profile for insurance and billing purposes.
Primary Guardian — the legal decision-maker for treatment consent
Guarantor — the person financially responsible. The Guarantor ID must match the primary subscriber on the insurance plan
Emergency contacts — additional contacts with relationship type and priority
Custody notes — document any custody restrictions relevant to clinical care
Insurance Integration
Eligibility verification — the platform automatically verifies insurance eligibility through clearinghouses before the appointment
Payer ID — attach the correct Payer ID to ensure claim routing. Common payers are pre-loaded
Multiple plans — support for primary, secondary, and tertiary insurance with coordination of benefits
Authorization tracking — link authorization numbers to patients with unit limits and expiration dates
Patient Search & Filters
Full-text search across name, DOB, phone, email, and MRN
Filter by status (active, inactive, discharged), provider, diagnosis, or insurance
Quick-access recent patients list for high-volume practices
Chart Overview
Each patient chart provides a unified view of:
Demographics & contacts
Active diagnoses & problem list
Upcoming appointments
Recent clinical notes
Medications, allergies, and vitals
Insurance & authorization status
Documents & consent forms
Data Import
Import patient rosters from CSV with field mapping for bulk onboarding. Duplicate detection prevents creating duplicate charts during migration.
